Located above the Menu Bar, Jackrabbit offers two fields to help you quickly search and find people and classes. These fields are referred to as the Global Search Fields or Quick Search Fields.
- The find a family... field allows you to search a name, email (when the '@' symbol is included), or phone number.
- The find a class... field allows you to search for active classes.
By default these searches are a "starts with" search, however, you can make it a wildcard search using an asterisk. With this, you can search for a name that contains the characters you define.
Example
Class name - Advanced Tap
- If just "tap" is entered in the search field, this class will NOT be located because it does not start with "tap" - it starts with "adv".
- If the search term is entered as "*tap" this class WILL be located because it contains the sequence of characters that you defined (tap).
The "starts with" search is very literal! Make sure there are no blank spaces before your search term.
What does Jackrabbit search?
Jackrabbit will search phone numbers in your system when 10 digits (phone number and area code), 7 digits (no area code), or the last 4 digits of the phone number are entered in the search field.
A non-numeric search term will search:
- Family name
- Student first name
- Student last name
- Student email address
- Contact first name
- Contact last name
- Contact email address
The type of search is always a "starts with" search unless you prefix your search with an asterisk "*". One slight exception is if you enter two search terms separated by a space, Jackrabbit assumes this to be a first and last name and will search on the family name as a "contains" search even without an asterisk.

The Families (menu) > All Families, Students (menu) > All Students, and Classes (menu) > All Classes offer advanced filtering options that allow you to narrow your search to a specific group.

Search Staff
A family is considered Active when it has at least one student enrolled in a class that has not been archived. The class start date does not affect this. When a student has an enrollment date in the future, even when the class has already started, the family is considered inactive until the future enrollment date occurs and the student actually starts the class.
The family status will remain active until the class is completed and has been archived. This is automatic and cannot be changed.
Permissions control the ability of your Users to see certain data and take specific actions. Before moving forward, review User Permissions for All Families.
All Families, located in the Families menu, generates a list of all active and inactive Family records in Jackrabbit. Lead File families are not included.
- Use optional data visuals to view key information at a glance with interactive charts.
- Drill down to specific families using filters organized in a slide-out filter drawer.
- Save your favorite view (filters, selected columns, etc.) as your default view.
- Display a list of families in a powerful grid: you can group, sort, and customize the information.
- Take Action - add a new family, send a message, work with a single family, or apply a mass action to multiple families at once.

If you have multiple Locations in Jackrabbit, this element will display the proportion of families in each Location.

The number of active versus inactive families is shown in this data visual.

Accounts Receivable
|
The number of families with unpaid fees (Accounts Receivable) will display as a fraction of all families, e.g., 11/31. The chart breaks those families down by the age of the fees owed.

Use Filters to Search for Specific Families
Select the Filter icon to open the Filter Drawer. The Filter Drawer houses various criteria to help you drill down to specific families, for example, to list all inactive families or find families with more than two students.
Each filter you select will narrow the results down further.
- Once filters are selected and applied, they will appear in the breadcrumbs. Use the red x next to a filter in the breadcrumbs to clear it and refresh the displayed families.
- Filters are grouped and organized into sections for ease of use and pull information from the various tabs in the Family record.
- Use the arrow (>) to expand a section to see the filters within, or use the Expand All/Collapse All option at the top of the Filter Drawer.
- Search for a filter by entering a keyword in the search box at the top of the Filter Drawer. For example, enter "ePay" to quickly locate and navigate to the ePayment Method filter in the Financial Details section.
- Select date fields by clicking on the calendar icon or manually enter dates.
Save your Favorite Filtered Grid Views
Save time and effort each time you open a grid page to view your data! After you have applied filters or clicked on a data visual, set the grid column widths, and you can save the filtered data as a Favorite.
Saved favorites can be set as a default view and shared with other Jackrabbit Users in your organization. There is no limit to the number of filtered grid views you can save.

Work with the Information in the Grid (Table)
Jackrabbit grids, located throughout the system, are very powerful and allow you to group and sort your data to customize how your results are displayed. Each grid has core features, such as grouping data by dragging a column to the grouping bar. Row menus and column menus offer different options depending on the grid.

Use Column Search to quickly find information in a column. For example, enter a family last name or part of a name, and all the matches will populate in the grid. Use the red x to clear the information in the search field.
Add a New Family
Use the Add New Family (icon)to open the Add Family window. We recommend you always select the Use Quick Registration Form button whenever possible. This allows you to add all the new family information, including students, and sign them up for classes at the same time.
You also have the option to add a family account 'on the fly' with just their name, location, and registration date when you click on the Enter Family Name Only link.
To accommodate different workflows, the Quick Registration form can also be accessed directly from the Families (menu).
Take Action for an Individual Family
Use the rowmenu to edit that row and access options for working with an individual family. Click on the icon, and a new browser tab or pop-up window will open depending on the action you select.
Click directly on the row menu for the family you want to work with; do not use the checkbox in the 1st column. When any checkboxes (for use with mass actions) are selected in the 1st column, the row menus are deactivated and won't display.
- View/Edit - opens the Family record
- Post Fees - opens the Make Sale/Post Fees page
- Accept Payment/Post Credit - opens the Payment Transaction Entry page
- Add a Note - opens the Add a note window
The Send Message (icon)can be used to send emails, text messages, and push notifications (through the Jackrabbit Plus mobile app) to individuals or multiple families.
Take Action for Multiple Families (Mass Actions)
Choose one of these options to select families and perform a mass action:
- Select all families - leave the checkbox in the 1st column unchecked, and all families in the grid are selected. You will be able to Send a Message, Refresh the Grid, Add a New Family, and perform all the mass actions in the drop-down list, including Print and Export to Excel.
- Select specific families - in the 1st column, select the checkboxes for the families you want to work with. You will be able to Send a Message and perform all the mass actions in the drop-down list shown.
- Current families displayed on the page (max. 250/page) - select the checkbox in the 1st column header. You will be able to Send a Message and perform all the mass actions in the drop-down list shown below.

View the Classic Class Calendar and Enroll Students
View your classic class calendar in daily, weekly, and room views. Use the calendar to enroll an existing student or register a new student.
- Go to the Classes menu > All Classes, filter as needed, or select a data visual to populate classes in the grid.
- Click the Filtered Calendar iconand choose how you'd like to view your filtered classes (daily, weekly, room). The calendar defaults to the current day for daily and room views and to the current week in the weekly view.
- The Classic Daily Class Calendar displays a single date's class schedule.
- The Classic Weekly Class Calendar opens a calendar view of your classes by the week.
- The Classic Room View Class Calendar displays a single date's class schedule by room.
- Click on a class in a calendar to open the class information, see the enrolled students, and enroll an existing student or register a new student.
The filtered calendar has checkboxes to Show Students on Hover and Show Full Classes (the latter defaults to checked).

Frequently Asked Questions
Q. How can I search for classes with openings?
A. Go to the Classes (menu) > All Classes and use the top scrollbar to scroll over to the Classes with Openings data visual. Click the large blue number (that's the number of classes with openings) and all classes with openings will display in the grid.
The Send Message iconcan be used to send emails, text messages, and push notifications (through the Jackrabbit Plus mobile app) to a single class or to multiple classes.
The Search option, under the Staff menu, is a customizable report of your staff members. It allows you to search through all of your staff and find only those who meet your criteria.
- Create a list of employees who have been with you for 5+ years for service awards.
- Find all staff with a specific certification.
- Generate a list of your staff with birthdays in the coming month and email them a birthday greeting.
Select Search Criteria
All of the Search Criteria pull information from fields that are located in the Staff record.
The more criteria you select, the fewer staff will be included in the report because a staff person must meet all the criteria.
Define Instructors' Classes
The selections made in this section apply only to staff who are instructors assigned to classes. The selections pull information from fields located in the Class record.

- The Show/Hide Columns button allows you to customize your report by selecting which information to display.
- Select Apply to apply these selections only to the report you are currently viewing.
- Select Apply & Save to have these selections applied and saved for your User ID. When logged in as your User ID, you will see only the columns of information you chose previously. Other Users will see the columns they selected and saved, which may differ from yours.
- Use Restore Columns to view all available columns.
- Send an Email directly from the report results. Use the Email All column to send to only selected staff or send to all.
- The Weekly Schedule link will open the Activity Calendar filtered for that instructor.
- Use the Calendar link to open the Classic Monthly Class Calendar filtered for that instructor.
Note: If the staff person is not an instructor and you have set their Instructor setting (on the Summary tab of the Staff record) to No, they will not appear on the calendars.
Search Transactions, located under the Transactions menu, is a powerful tool to help you locate fees, payments, credits, and refund transactions.
- Choose from more than 20 filters (Search Criteria) to drill down to the transactions you are looking for.
- Edit multiple transactions at once from the search results.
- Email families or export to Excel directly from the search results.
- Quickly locate ePayment transactions, including declined payments with Declined Reason Codes.
- Search within columns in the results.
Processing multiple ePayments at once is a time saver! You can even take it one step further and schedule ePayments to process later! Whether you are processing multiple ePayments now or scheduling them to be processed later, reviewing those transactions is an important step.
Search Criteria
There are many filters available in Search Transactions. By default, the search will include all non-deleted transactions for the current date or date range selected. Along with the filters you can use to search transactions, Search Criteria options allow you to search specifically for transactions for a specific family, student, or class.
For this example, the Transactions Date from/through was set for 15 days. Leave all the other Search Criteria selections blank. Click Submit. The grid will display all the transactions recorded for the time period selected.
Search Results
The search results grid displays all the transactions for the timeframe. In this grid, there are 367 transactions.
- Click the Edit Transactions icon(pencil in the upper right) to open the Edit Transactions page and make updates as needed.
- To edit a single transaction, use the row menu icon> Edit to open the Edit Transaction window.
When you click one of the iconsin ePayment (EPMT) column, a movable window opens with the ePayment transaction information. Place your cursor near the top of the window and click to move the window around the page.
The report results can be further customized to show or hide columns of information, sort and filter columns, or modify column width. You can send an email or print directly from the report results.
Save time and effort each time you open a grid page to view your data! After you have edited column settings and set the grid column widths, you can save the filtered data as a Favorite. A saved Favorite can be set as a default view and shared with other Jackrabbit Users in your organization.
Use the action icons in the upper right to work with the information in the grid.
- Adjust Columns - click Adjust columns > Squeeze gridto view the entire grid on the page.
- Send Message - leave the 1st column unchecked and click on the Send Message iconto send an email to all the contacts/families in the report. You can also use the 1st column to select a single family or group of families to send a message to. If you have texting enabled, you'll have the option to send a text; if you have Jackrabbit Plus, you'll be able to send push notifications.
- Refresh the data - click the Refresh Grid (icon)to update results in the grid if you make updates.
- Print or Export to Excel - click the More (icon)to print or export the data to Excel.
Note: Depending on the width of the report, reduce the size/scale of the report so all the columns print.
