The first lesson in this Learning Series, Supervisors and Managers, is designed to get you familiar with using the Executive Dashboard as a manager. You may wish to review the articles in the Jackrabbit Basics category if you are just getting started with Jackrabbit.
The Weekly Calendar button on the Executive Dashboard opens a calendar view of your classes by week. This is your class command center and allows you to manage almost all areas of your classes from one screen! Note: The Weekly Calendar is for internal use only, it is not available to your families.
You'll also have access to the Weekly Calendar using the Calendar link above the blue menu bar on all screens in your database.
The Weekly Calendar opens in a new window and displays a week-long calendar of classes. While the Weekly Calendar is most easily accessed from the Executive Dashboard, you can also navigate to this calendar from the Reports (menu) > Find a Report > Classes/Enrollment (left menu) > Classes (tab) > Weekly Calendar. Other calendar/schedule views, such as a monthly or by room, are also available. These are discussed in more detail in our Help article Class Calendars and Schedules.
Note: The Weekly Calendar and other calendar options (daily, monthly, and room) only include your class offerings. At this time your Events are NOT included. Access to the Events calendar can be located at Events (menu) > Calendar.
Weekly Calendar Features
- Calendar Criteria and display buttons allow you to customize your calendar view.
- When first opened your Weekly Calendar will bring up the current week's schedule with no criteria selected (no filters applied, all classes showing).
- Use the Prev and Next buttons, or the date field, to change the week you are viewing.
- The currently selected criteria are displayed.
- Use the Change Criteria button to edit those selections.
- Use the Add Class button to quickly add a class. You can also add a class by clicking into a specific time slot.
- Click the Settings button to change the time range that your calendar displays. Set this to your facility's opening and closing time.
- Select Show Students to add the enrolled students' names to the class information that displays when you rest your mouse pointer over the class on the calendar (hover without clicking).
- The Show Full Classes checkbox defaults to checked to display full classes as well as classes with openings. Clear the checkbox to hide classes that are full which makes it easier to find a class with an opening to enroll a student in.
- Click the link on a date to look at the daily view. The display criteria you have selected will also be applied to that daily view. For more information on the daily view see our Help article Class Calendars and Schedules.
- Review the summary information for each class on the calendar at a glance. Click the linkfor quick access to the class record.
- Class name
- Number of openings (#)
- Number of future drops #FD
- Number of future enrolls #FE
- Number of absences for that day (#a)
- Number of makeups for that day (#m)
- Accurate enrollment counts are displayed in real-time! A full class (0) that has a future drop scheduled for the following week will accurately reflect that opening (1) when you advance the Weekly Calendar to that date.
More Calendar Actions
- Double click into any open time slot to add a class. The Add Class window will open with the start date and time for the slot that you clicked into pre-selected; these values can be edited. You can also use the Add Class button in the Criteria section to open the Add Class window with no pre-selection made.
- Click a link for any of Future Drops, Future Enrolls, Absences, or Makeups to open a window with more detail including student names.
- Click Enroll Existing Students to enroll an existing student into the class or click Register New Students to open the Registration Form to add a new family and enroll a student in the class. If the class is full you will see CLASS FULL and a Waitlist button to click to add a student to the class waitlist. Once the waitlist is also full the button will drop off and you will only see CLASS FULL.
- When the Show Students checkbox (in the criteria/settings section) is not checked private lessons (max size = 1) will display with the enrolled student's name. If Show Students is checked the calendar will display the class name and openings information (0) and the enrolled student's name will appear in the class information window that displays when you hover over the class.
- Classes can display color-coded by Category 1 if you assign colors to your Category 1 drop-down values in the Drop-Down List Editor (Gear icon > Settings > General > Drop-down Lists). When darker colors are chosen the text display will change to white. This makes it easy to distinguish between the different types of classes you offer!
Frequently Asked Questions
Q. Why are older makeups still showing when I click on the link in the class detail on the Weekly Calendar?
A. Absences and make-ups within 5 days of the day you view the Future Drops & Enrolls page are shown. For example, if you view the page on Friday, absences and make-ups from Monday will show. If you view it again on Saturday, the absences from Monday will no longer show.
The Weekly Calendar can be also be accessed from the Classes (menu) > All Classes. Click the Filtered Calendar (icon)and select Weekly from the drop-down list. The Weekly Calendar opens in a new window.
The Alerts widget on the Executive Dashboard delivers timely notifications on vital information and provides convenient access to related reports at your fingertips.

Widget Wisdom - Understand and Interact
There are sixteen alerts, split into two categories: actionable and informative. Actionable alerts are displayed by default.
- Actionable Alerts - You or your staff can clear actionable alerts by - you guessed it - taking action. For example, to resolve the Waitlists for Classes with Openings alert, click the alert to open the corresponding Waitlists with Openings report. From there, you can access the class record and enroll students from the waitlist, reducing the number of openings reflected in the alert.
- Informational Alerts - These alerts, such as 4+ Absences in the last 30 days, remain active and continually update to keep you in the loop rather than disappearing.
The Alerts widget offers various interactive components. Some provide a deeper dive into your data, while others enable customization of your Executive Dashboard display.

Actionable Alerts (8)
Waitlists for Classes With Openings
The Waistlists for Classes with Openings alert will display a green circle with a zero if there are currently no openings available for waitlisted students. When one or more openings are available in classes with waitlisted students, the alert with display a red circle and show the number of openings.
Click the Waitlists for Classes with Openings alert to open the Waitlists with Openings report. Users with the necessary permissions can access the Class record through a link in the report. From there, they can navigate to the Waitlist tab and enroll students into the class, thereby reducing the number of openings reflected in the alert.
The alert will return to a green circle with a zero when all openings have been filled.

Incomplete Time Entries
If there are currently no time entries without an out-time, the Incomplete Time Entries alert will display a green circle showing zero. When there are one or more time entries without an out-time, the alert will display a red circle and show the number of incomplete time entries.
Click the Incomplete Time Entries alert to open the Incomplete Time Entries report. Users with the necessary permissions can then apply an out-time to the entries, thereby reducing the number of time entries without an out-time.
The alert will return to a green circle with a zero when all time entries have been completed.

Classes Past End Date To Archive
This alert displays the number of classes that have passed their end date as a reminder to archive them.
When there are currently no classes with end dates in the past, the Classes Past End Date to Archive alert will display a green circle showing zero. When there are one or more classes that have ended, the alert will display a red circle and show the number of classes that can be archived.
Note: This alert does not include classes with no end date or classes with the current date as their end date.
Click the Classes Past End Date to Archive alert to open the Search Classes report filtered for classes that have ended. Users with the necessary permissions can use the link provided to go to the Class record and archive the class. Classes may also be archived in mass based on your selected criteria (Classes menu > Archive Classes).
The alert will return to a green circle with a zero when all classes past their end date have been archived.
Items at or below Re-Order Alert Qty
When there are no store items that need to be re-ordered, the Items at or below Re-Order Alert Qty alert will display a green circle showing zero. When there are one or more store items that need to be ordered, the alert will display a red circle and show the number of items with stock below the re-order quantity.
Click the Items at or below Re-Order Alert Qty alert to open the Re-Order Alert Quantity report listing the store items to order.
Once the orders for the items are received and a User with the necessary permissions has updated the item records so that the Qty on Hand field exceeds the Re-Order Alert Qty field, the alert will return to a green circle with a zero.

Classes with Incomplete Staff Portal Attendance (yesterday)
This alert is regarding the previous day's classes (yesterday). Address attendance not completed by an instructor in the Staff Portal while it is still fresh in their minds!
If all classes from the previous day had complete attendance recorded through the Staff Portal, the alert for Classes with Incomplete Staff Portal Attendance (yesterday) will show a green circle with zero. When one or more classes need to have attendance completed for yesterday, the alert will display a red circle and show the number of classes that need attention.
Click the Classes with Incomplete Staff Portal Attendance (yesterday) alert link to view the Incomplete Time Entries page for the previous day. Users with the right permissions can use the Portal Msg link next to a class to create a Staff Portal login message to remind the instructor to complete attendance for the class. The instructor will see the message when they next log into their portal. If you are set up for text messaging in Jackrabbit, there will also be a link to send a text to the instructor.
Note: If you are not using the Attendance feature and would like to remove this alert, go to the Staff menu > Staff Portal > Portal Settings > Features (section) and remove the check mark next to Attendance. Save Changes. Be advised that with this change, you will no longer be able to take attendance in the Staff Portal.

Active Staff Certifications Due & Active Staff Certifications Overdue
These two alerts highlight active staff members who have certifications that are either overdue or coming due within 30 days.
If all staff members are up to date on their certifications, the alerts for Active Staff Certifications Due (30 Days) and Active Staff Certifications Overdue will show a green circle with zero. When one or more staff members need to update a certification, the alerts will display a red circle and show the number of certifications that need to be updated.
Users with the right permissions can click the Active Staff Certifications Due (30 Days) or Active Staff Certifications Overdue alert link to open the Staff Certifications page pre-filtered for those certifications that need attention.
Once all certifications are up to date, the alerts will return to a green circle with a zero.

Yardstik Process Alert
This alert notifies you when a staff member's screening process has progressed in the workflow.
If there are no screenings in progress, the Yardstick Process alert will show a green circle with zero. If one or more screenings are in progress and have changed status, the alert will display a red circle and show the number of screenings that need attention.
Users with the right permissions can click the Yardstick Process alert to open the Active Staff page, where they can manage the screenings that are in progress.

Informational Alerts (8)
2-3 Absences in last 14 days
To be included in this alert, students must have 2-3 absences in the same class in the last 14 days. However, when a User with the right permissions clicks the alert link, the resulting report will include all of that student's absences in the 14-day period.
Example:
If a student was absent once from Jazz and once from Acro within the last 14 days, they wouldn't be part of the alert. However, they would be included if the student had missed Jazz class twice during that period. Clicking the alert link will lead to a report showing all four of the student's absences.
The alert will display the count of students with 2-3 absences from the same class within 14 days in a gray circle.
If your organization tracks absences, the alert link will open the Absences-Makeups report.
If your organization tracks attendance, the alert will open the Student Attendance report.
4+ Absences in last 30 days
To be included in this alert, students must have 4+ absences in the same class in the last 30 days. However, when a User with the right permissions clicks the alert link, the resulting report will include all of that student's absences in the 30-day period.
Example:
If a student were absent twice from Jazz and twice from Acro within the last 30 days, they wouldn't be part of the alert. However, they would be included if the student had missed Jazz class four times during that period. Clicking the alert link will lead to a report showing all eight of the student's absences.
The alert will display the count of students with 4+ absences from the same class within 30 days in a gray circle.
If your organization tracks absences, the alert link will open the Absences-Makeups report.
If your organization tracks attendance, the alert will open the Student Attendance report.
Scheduled Trials
This alert highlights the number of trial enrollments that are scheduled in a gray circle.
Users with the right permissions can click the Scheduled Trials alert to open the Enroll History report criteria selection page pre-filtered for Enrollment Type = Trial.
Scheduled Tasks next 30 days
This alert highlights the number of scheduled tasks that will be executed within the next 30 days in a gray circle.
Click the Scheduled Tasks next 30 days alert to open the Task Management page.
Birthdays (Active) next X days & Birthdays (Not Active) next X days
Recognizing a student's birthday not only adds a personalized touch but also strengthens your bond with them, ultimately enriching their overall experience. The Birthdays (Active) next X days and Birthdays (Not Active) next X days alerts are like friendly reminders, giving staff time to prepare and make birthday celebrations extra special. The alerts will display the number of birthdays occurring during the specified time frame in a gray circle.
The number of days (X) in this alert is customized in the Dashboard Settings on the Executive Dashboard.
- At the top right of the Executive Dashboard, click Dashboard Settings.
- On the left menu, select Birthdays to scroll to that section of the settings.
- Enter the number of days you want to watch for upcoming birthdays.
Scheduled Emails
The Scheduled Emails alert highlights the number of emails that are scheduled in a gray circle.
Users with the right permissions can click the Scheduled Emails alert to open the Scheduled Emails report, where they can preview, edit, or cancel emails that have been scheduled to be sent later.

Substitutes next 30 days
This alert displays the number of records for substitution dates in the next 30 days that are marked Assign Later in a gray circle. This indicates that a substitute still needs to be found for the class and assigned on the Instructor tab of the Class record.
Users with the right permissions can click the Substitutes next 30 days alert to open the Substitutes report filtered for the next 30 days; this filter can be cleared to view all substitutes.

Bar charts in the Revenue Summary widget display revenue information visually. The revenue amount on the charts is total revenue after discounts and refunds have been subtracted. It includes taxes.

Widget Wisdom - Understand and Interact
The Revenue Summary widget offers two different views of your earnings over time, giving you options to analyze data in a way that suits you best. This flexibility makes decision-making easier and more personalized.
Current vs Prior Years Revenue
The Current vs. Prior Years Revenue chart is a visual representation of your revenue for the current year and two previous calendar years. It is displayed by default.
- Hover over a bar to see the month, year, and dollar amount.
- Click any year at the bottom of the chart to hide that year's revenue data. Click on a hidden year to show it again.
12-Month Trailing Revenue
The 12-Month Trailing Revenue chart is a visual representation of your revenue over the past 12 months, updated regularly as each month passes.
- Select 12-Month Trailing Revenue to switch to that view.
- Hover over a bar in the chart to see the month, year, and dollar amount.
Use the To Do Tasks widget on the Executive Dashboard to assign tasks to any staff member who has a Jackrabbit User ID.
- Improve operational efficiency by effectively managing tasks.
- Ensure that staff are aware of upcoming tasks and deadlines.
- Track task completion and any overdue tasks for all staff in one place.
Add and Assign a Task
- In the To Do Tasks widget, click Add Task.
- Complete the information in the Add Task window:
- Enter the Task Name and Due Date.
- Click the Assign To drop-down menu and use the checkboxes to select one or more Jackrabbit Users to whom you want to assign the task. Use the Assign to All Users checkbox to assign the task to all Users in your system.
- Add Notes if needed.
- Click Add. The task will now be displayed in the widget under either Assigned to Me or Assigned to Others.
View Tasks
By default, the To Do Tasks widget displays incomplete Tasks. It shows up to five tasks assigned to you and up to five tasks assigned to others.
Use the options at the bottom of the widget to view more tasks.
- Click All Tasks at the bottom of the To Do Tasks widget to view all incomplete tasks. Optionally, sort and filter the tasks by those assigned to you and those assigned to others. A link is provided to switch the view to completed tasks.
- Click Completed Tasks at the bottom of the widget to view all tasks that have been marked completed. A link is provided to hide the completed tasks and switch back to all tasks.
Mark a Task Complete
There are two ways to mark a task complete and move it from the All Tasks (incomplete) section to the Completed Tasks section.
- Select the empty circle to the left of a task name to mark it complete.
- Click on a task to open the Edit Task window. Select the Mark Completed checkbox and click Save.
Edit or Delete a Task
To modify or delete an incomplete task, click on the task to open the Edit Task window. Make any required adjustments, and then either click Save to preserve the changes or select Delete to remove the task entirely.
The Aged Accounts widget on the Executive Dashboard provides a breakdown of all of your customers' unpaid fees divided into time buckets (aka aging groups) for 0-30 days, 31-60 days, 61-90 days, and >90 days. Fees begin to age from their transaction date.
- View overall account performance at a glance.
- Prioritize collection efforts.
- Strengthen customer relationships; engage proactively with customers who may be experiencing difficulties.
Customize Your Aged Accounts Widget
For a quick visual of your family accounts' overall health, the time buckets in the Aged Accounts widget feature indicators that change color once the dollar amount exceeds a predefined threshold.
The indicator colors are the same as traffic lights, making the meanings easy to understand and remember:
- Green means the amount in the time bucket is acceptable.
- Yellow is a warning that the amount in the time bucket is more than what is acceptable and may need attention.
- Red means the amount in the time bucket is at a problem level and needs attention.
Define your thresholds using the Dashboard Settings button on the Executive Dashboard.
Establish a threshold amount for each time bucket. Once exceeded, it will trigger a change in the color indicator. Base the thresholds on your organization's risk tolerance and cash flow requirements. The color coding serves as a signal for when collection efforts may become necessary.
- If the amount in the time bucket is less than or equal to the green threshold, the indicator will be green.
- If the amount in the time bucket is greater than the green threshold but less than the yellow threshold, the indicator will be yellow.
- If the amount in the time bucket is equal to or greater than the yellow threshold, the indicator will be red.
Note: The 0 - 30 Days Old time bucket cannot be color-coded as it is considered current; the indicator will always be white.

The Total Outstanding is the sum of all unpaid fees in the time buckets. Note: The time buckets only include family accounts with a balance of $1 or more.

The Balance (incl. Credits) is the sum of all of your family account balances. It includes fees with a future date and unapplied credits.
|

The total in each time bucket shows the combined amount of unpaid fees in that age group for family accounts with a balance of $1 or more. This might not be the exact amount owed on the family accounts (balances), as it depends on whether there are any unapplied credits. The sum of all unpaid fees on an account, less any unapplied credits, will equal the family balance.

Refresh Aged Accounts to update the figures for any activity that may have occurred since the last refresh, e.g., an ePayments batch. |
It is important to note that improper linking of fees and payments will affect these aging totals. If a fee has been paid but a payment has not been linked to it, the fee will be included in the Aged Account totals because Jackrabbit still sees the fee as unpaid. See Fee Linking Explained for more information.
The Key Metrics widget on the Executive Dashboard offers a quick view of enrollment and registration information. Each metric links to a detailed report.

Customize Your Key Metrics Widget
To customize Key Metrics, click the Dashboard Settings button at the top of the Executive Dashboard.
The Dashboard Settings have three sections related to the Key Metrics: Enrollments, Drops, and Registrations.
Enrollments & Drops
Each of the Enrollment Total, Enrollment Percentage, and Total Drops in the last X days metrics are accompanied by an icon that provides a visual indication of the degree of attention required. The icons are controlled by your defined thresholds, i.e., your tolerance levels.
The icon colors are the same as traffic lights, making the meanings easy to understand and remember:
- Green means the metric is meeting your goal.
- Yellow is a warning that the metric value is outside the desired range.
- Red means the metric has reached a problem level and needs attention.
Use the Green and Yellow fields to define your thresholds. The icons will change to red based on their relationship to the yellow number (< less than or > greater than).
Use the Total Drops in Last X days field to define the number of days included in the Total Drops in Last X days Key Metric.
For Enrollment Total and Enrollment Percentage:
- A green icon displays if the value is equal to or above the green threshold.
- A yellow icon displays if the value is equal to or above the yellow threshold but below the green threshold.
- A red icon displays if the value is below the yellow threshold.
For Total Drops in Last X days:
- A green icon displays if the value is equal to or below the green threshold.
- A yellow icon displays if the value is above the green threshold but below the yellow threshold.
- A red icon displays if the value is equal to or above the yellow threshold.
Registrations
Use the Last X Days field to define the number of days to include in the Portal Enrollments last X days, Online Registrations, and Class Registrations to be Processed Key Metrics.
Use the Display Registration Type, Display Registration Status, and Display Registration Source checkboxes to choose what registration types, statuses, and sources should be included in the Portal Enrollments last X days, Online Registrations, and Class Registrations to be Processed Key Metrics.
Widget Wisdom - Understand and Interact
The Key Metric widget offers various interactive components. Some provide a deeper dive into your data, while others enable customization of your Executive Dashboard display.
- Click on any metric to open the corresponding report; for example, click on Active Families of ## to open the List Active Families report or select the Class Registrations to be processed metric to open the Process Class Registrations report.
The choices you make in the Dashboard Settings filter the reports you access through the Executive Dashboard. For example, if you set the Total Drops in the Last X days to 10, clicking on the Total Drops last 10 days metric will show a report reflecting drops from the last 10 days.
- Hover over the Enrollments metric to reveal two links:
- View Enrollments opens the Enrollment Snapshot 1 report.
- View Category 1 Chart opens a chart showing Category 1 enrollments.
- Collapse or expand the widget using theor next to Key Metrics.
- Use the Move Widget icon to drag and drop the widget anywhere on your Executive Dashboard to customize your view. Your chosen layout will be retained each time you visit.
The Internal Announcements widget on the Executive Dashboard allows you to share information with your Jackrabbit Users. These announcements are visible to Users when they visit the Executive Dashboard.
- Share messages with your Users, similar to posting notes on a bulletin board.
- Help your Users remember important information; they'll see your announcements every time they visit the Executive Dashboard.
- Encourage your team with fun and uplifting quotes or images.
Add or Edit an Announcement
- On the Executive Dashboard, click the Add or Edit button in the Internal Announcements widget to open the Announcements editor.
- Enter the text of your announcement.
- Use the formatting tools in the editor window to add images, insert links, format fonts, and more.
- The Announcements editor has a 1,000-character limit. A counter at the bottom right of the window shows how many characters you have used.
- Click Save.
Note: You can also access the Announcements editor by going to the Gear icon > Settings > General > Dashboard Announcements (left menu) > Edit Announcements.
Delete an Announcement
- Click the Edit button in the Internal Announcements widget to open the Announcements editor.
- Highlight the body of the announcement and use the Delete or Backspace key on your keyboard to delete it.
- Click Save.
When you have worked through all of the articles outlined in the lesson, select the Take the Quiz button to be taken to the Lesson #1 Quiz where you can test your understanding of the concepts in this lesson.
